Not every task is worth automating. ROI tells you which workflows deliver real value versus which just feel nice, turning a gut call into a business case.

Start by pricing the manual task: how often per week, how long each time, and the hourly cost of who does it. Multiply for the weekly cost by hand.

The obvious win is time saved: a 30-minute daily report over 5 days is 2.5 hours weekly, about 130 hours a year freed for higher-value work.

Manual work breeds mistakes; automations run the same steps the same way every time. Fewer errors mean less rework and lower risk, with real dollar value.

ROI is not all upside. Subtract the cost of automation: platform and per-task fees, time to design and test, and ongoing maintenance as tools change.

The formula: ROI = (benefits - cost) / cost. Save 2,000 dollars a year on a 500-dollar build and you get (2000 - 500) / 500 = 3, or 300 percent.

Split benefits into hard (hours saved, fewer refunds) and soft (happier staff, faster responses). Include soft benefits, but lead with hard numbers.

The payback period is how long savings take to cover the build cost. An 8-hour build that saves 2 hours weekly pays for itself in about a month.
