Dynamic Search Criteria
Dynamic search criteria means using data from a previous step in your workflow to perform a search. This makes your automations flexible and responsive to real-time information.
- Example: A new form submission contains an email address. You use this email to find the corresponding customer record in your database.
- This avoids hardcoding values and ensures your automation works with whatever data comes in.
Combining Conditions: AND
Often, you need to find a record that matches multiple specific conditions. This is where 'AND' logic comes in.
When you use 'AND', all specified conditions must be true for a record to be considered a match.
- Example: Find a task that is 'Due Today' AND has a 'High Priority'. Both must be true.
- Most no-code platforms allow you to add multiple search filters that implicitly use 'AND' logic.
Combining Conditions: OR
What if you need to find a record that matches any of several conditions? This is when 'OR' logic is useful.
With 'OR' logic, a record is found if at least one of the specified conditions is true.
- Example: Find a lead whose 'Source' is 'Website' OR 'Referral'. If either is true, the lead is found.
- Some platforms provide explicit 'OR' options, while others might require separate search steps combined with conditional paths.
Conditional Record Updates
Once you've successfully found a record using your advanced search, the next common step is to update it. This update can also be conditional or based on dynamic data.
- Example: Find a 'Support Ticket' by its unique ID. If its 'Status' is 'New', then update 'Assigned Agent' to 'Alice'. If the 'Status' is 'Pending', update 'Last Reviewed Date' to today.
- The key is to use the unique ID of the found record in your update action.
Handling Multiple Search Matches
Sometimes, your advanced search might return multiple records. For instance, searching for 'all active customers in London'. How do no-code platforms handle this?
- Update First: Some platforms will only update the first record found.
- Iterate: Others allow you to process each found record individually (often using an 'Iterator' module, which we'll cover later).
- Error: If your workflow expects only one result, it might stop with an error if multiple are found.
Best Practice: Design your search queries to be as specific as possible if you intend to update a single record.
The 'Upsert' Pattern
The 'Upsert' pattern is a very powerful technique in automation. It means: "Try to UPdate a record. If it doesn't exist, then inSERT a new one."
- Use Case: When syncing data (e.g., contacts, products) from one system to another, and you don't know if the record already exists in the target system.
- It helps avoid creating duplicate records while ensuring your data is always present and up-to-date.
Upsert Workflow Example
Here's a common conceptual flow for an 'Upsert' pattern:
- Search Step: First, try to find the record (e.g., by a unique email or ID) in your database.
- Conditional Path (Found): If the record is found, proceed to an 'Update Record' action, using the found record's ID.
- Conditional Path (Not Found): If the record is NOT found, proceed to a 'Create Record' action, inserting the new data.
